My CFIA – Get Started

If you do business with the Canadian Food Inspection Agency (CFIA) as an individual or a business, or if you work with clients as an Alternative Service Provider (ASP)—such as accredited veterinarians or laboratories—you can enrol for a My CFIA account to conduct some of your business online.

By signing up for a My CFIA account, you will be able to access certain CFIA online services and request services by:

  • Creating a Contact Profile for yourself
  • Creating a Party Profile for your business
  • Creating an ASP Profile

Before You Begin

If you are proceeding in order to conduct business as an individual or an organization whose business activities are subject to the Acts and Regulations administered and enforced by the CFIA, it is recommended that you have the following documents and information on hand:

  • A valid Proof of Business document
  • Establishment information (name, facility registration number, location, declared activities, etc.)
  • Employee information (name, email, phone number, etc.) about key employees within your organization or business who may need to be contacted by the CFIA
  • Name and email address of the individual who will function as your Profile Authority

Note

The Profile Authority must provide a signed Proof of Authority form before they are asked to attest to the responsibilities of their role. The form can be downloaded directly from their Proof of Authority Form screen during party enrolment or from the CFIA forms catalogue:

If you are an Alternative Service Provider (ASP), it is recommended that you have your Proof of Accreditation document on hand.

How Long Will it Take to Complete Enrolment?

Most businesses can expect to take about 20 minutes to complete the enrolment process.

Note

If your business or its activities are complex, it is not necessary to provide all the details of your activities during the enrolment process. You always have the opportunity to update or amend your profile.

Enrolling for Online Services

Step 1: Sign In/Sign Up

From My CFIA, select the Sign In / Sign Up button.

The Government of Canada delivers online services through the GCKey or Sign-In Partners. This ensures your online transactions will be private and secure.

Select either Sign-In Partner or GCKey and complete the authentication process. Refer to onscreen instructions and the frequently asked questions (FAQs) as needed.

1. GCKey: GCKey allows you to communicate securely with online government services.

A GCKey is issued by the Government of Canada. The GCKey service does not share your information with any third party. If you are enrolled with other Government of Canada services, you will need to provide your information again as each government service requests your personal information based on their specific requirements and to determine eligibility or entitlement. The Government of Canada must adhere to the Privacy Act, which restricts the information that can be shared between departments and agencies.

Example: Jane registered for a GCKey user identification (ID) and password when she set up her My AAFC Account. Jane can now use that same GCKey to securely access various Government of Canada services online, including My CFIA.

2. Sign-In Partner: A Sign-In Partner is an organization that contracts with SecureKey Technologies. If you bank online, you are probably already using this service. You may also be using a Sign-In Partner if you access certain Government of Canada services such as paying fees or filing income taxes.

It may seem strange to use your personal information to access services for your company; however, when you use a Sign-In Partner, all you are doing is using the Sign- In Partner to verify your identify. None of your personal information is provided to the CFIA.

The Sign-In Partner uses the information you provide to create a "key." The key is a small piece of data sent to My CFIA to verify you are who you say. The key does not contain any of your personal information. It simply opens the connection to My CFIA.

The advantage to using a Sign-In Partner is that you don't have to remember a different user ID and password when you are using Government of Canada services.

To log in using a Sign-In Partner that is a financial institution or bank, you must be registered for online banking access. Contact your bank for assistance.

Currently there are ten Sign-In Partners:

  • Affinity Credit Union
  • BMO Financial Group
  • CHOICE REWARDS MasterCard
  • CIBC Canadian Imperial Bank of Commerce
  • Desjardins Group
  • National Bank of Canada
  • Royal Bank of Canada
  • Scotiabank
  • Tangerine
  • TD Bank Group

Example: John signs into My Account with the Canada Revenue Agency (CRA) using his banking information. He can also do this to validate his identity when he uses My CFIA.

No matter which option you choose, all information you input into My CFIA is secure and private.

You can use GCKey to access multiple Government of Canada online services. For more information about GCKey and to learn more about Sign-In Partner, visit the Government of Canada's GCKey site.

Step 2: Registering with CFIA / AAFC Secure Online Services

On your first visit, once you have signed in with your GCKey or Sign-In Partners user ID and password, you will need to register with CFIA / AAFC Secure Online Services. If you have used this service in the past, but you are signing in with a different GCKey or Sign-In Partner, you will still need to register.

On the Final step: Canadian Food Inspection Agency (CFIA) registration screen, select one of the following:

  • Register with CFIA if you are a first-time user of CFIA online services
  • Cancel the process if you are returning to request a CFIA service, but you are using a different GCKey or Sign-In Partner than you used on your previous visit. Next, contact your CFIA representative to get a one-time activation code to connect to your existing secure online services registration profile.
  • Enter a one-time activation code if you have a code provided by your CFIA representative and you want to link to your existing CFIA secure online services registration

On the AAFC's Secure Online Service – Terms of Use page, select I agree to accept the attestation. If you select I do not agree or Cancel, your secure online services registration will not be processed.

On the CFIA Registration – Basic details screen, enter your secure online services registration information as follows:

  • Name Prefix
  • Legal Given Names (Required)
  • Preferred Given Names
  • Legal Family Name (Required)
  • Name Suffix
  • Preferred Language
  • Email (Required)

Select the Save button. On the next screen, confirm your profile details and select the Save button again.

Next, you will find step-by-step sign up instructions for My CFIA. This includes enrolling as an individual, party or Alternative Service Provider (ASP) and creating a profile.

Step 3: New Contact Profile

Once you have signed in using GCKey or a Sign-In Partner and have registered with CFIA / AAFC Secure Online Services, you have two options depending on whether you are creating a new profile or you have received a profile claim code by email.

1. Create a new profile

  • Select the Create Contact Profile link

Note

Once you have created your Contact Profile, you are responsible for keeping your information up to date.

2. Enter a profile claim code

  • Enter the claim code
  • Select the Claim My Profile button

Examples

  1. Paul Smith owns and operates a dairy company. He would like to use the CFIA's online service to get a dairy establishment registration. He must first create his Contact Profile before proceeding to create his Party ("business") Profile.
  2. Michel LeBlanc works for a large dairy company and he is responsible for renewing the establishment registrations for all establishments that belong to the company. He must first create his Contact Profile before proceeding to create the Party ("business") Profile for the company.
  3. Sally Munroe is responsible for one of the establishments of a large dairy company. Sally is responsible for ensuring that her establishment has its dairy establishment registration renewed. She must first create her Contact Profile before proceeding to create the Party ("business") Profile for the company to which her establishment belongs.
  4. Stephane Jones is a veterinarian accredited by the CFIA as an Alternative Service Provider (ASP) to perform certain tests for live animal export permits. The company he performs those tests for has already enrolled in My CFIA. That company wants Stephane to interact with them directly through My CFIA to perform the veterinary services required for their export certificates. Before proceeding to his ASP Profile, Stephane must first create a Contact Profile.

Step 4: New Contact Attestation

Read and accept the new contact enrolment attestation to finish creating your account.

To accept the attestation:

  1. Read the attestation statement
  2. Select the I accept (Required) checkbox
  3. Select the Accept button

Note

If you select Decline at any point in the enrolment process, you will exit the enrolment process.

Step 5: Contact Information

Enter your contact information:

  • First Name (Required)
  • Middle Name
  • Last Name (Required)
  • Primary Phone Number (Required)
  • Email (Required)
  • Preferred Language (Required)

Select Submit.

Your My CFIA account has now been created and your Dashboard will open.

Note

  • You must use an email address that is not already in use in My CFIA.
  • You will not be able to submit your contact information if any required information is missing or invalid.

Creating a My CFIA Profile

Your Dashboard is your homepage for My CFIA.

Step 1: Dashboard

Select Enrol New Party/Enter Invite Code from your dashboard.

Step 2: Enrol New Party/Enter Invite Code

You have four options:

1. Continue as an Individual Select this option if you are an individual subject to the Acts and Regulations administered and enforced by the CFIA and wish to access CFIA online services for personal or non-commercial use.

Supporting documents and/or additional information may be required at a later time based on your service request.

Select the Continue as an Individual button to return to your Dashboard.

2. Enrol a New Party Select this option if you are a party (individual or organization) subject to Acts and Regulations administered and enforced by the CFIA and wish to conduct business online with the CFIA.

The following will be required to be provided to complete your party enrolment:

  • Information such as profile name, legal name of business, business structure, and office/billing address
  • Supporting documents, including a valid "Proof of Business" document and a signed "Proof of Authority" form

Note

The Profile Authority must provide a signed Proof of Authority form before they are asked to attest to the responsibilities of their role. The form can be downloaded directly from the Proof of Authority Form screen during party enrolment or from the CFIA forms catalogue:

Select the Continue as a Party button to create a party profile.

3. Enrol as an Alternative Service Provider (ASP) Select this option if you are an ASP that provides services that are subject to the Acts and Regulations administered and enforced by the CFIA, you are providing such services to support another party, and wish to conduct business online with the CFIA.

You will be required to provide the following to complete your ASP enrolment:

  • ASP information such as legal name, individual or business name, office/billing address and accreditation body
  • Supporting Proof of Accreditation document, authorizing such accreditation

4. Select the Continue as a Party button to create an ASP profile.

  • Enter an Invite Code: If you received a party contact invite code by email, enter the code in the Invite Code field. The invite code is a 36 character alphanumeric string (including dashes). Then continue to create your party or ASP profile.

The person who creates a party profile will be considered the Profile Manager and must agree to and accept the terms and conditions of use on behalf of the regulated party. This includes providing truthful and accurate information.

Creating a Party Profile – Enrol a New Party

Step 1: Accept the Attestations

Read the party attestation and select the I accept (Required) checkbox.

As the person creating a party profile, you must also accept the role of Profile Manager.

Read the Profile Manager Role Attestation and select the I accept (Required) checkbox.

Select the Accept button.

Note

The role of Profile Manager can be re-assigned to another person at a later time. See Manage My Account.

Step 2: Party Profile – Enrol a New Party

This step consists of multiple screens, each marked by a completion percentage to help guide you through the process.

Note

If you need to quit before you complete the party profile section, you may select Save and Return Later from any party enrolment screen. Each screen is saved when you move to the next screen. If you select Cancel, the information on the current screen will not be saved.

Enter Business Information - 10% Complete

Complete the business information form fields:

  • Profile Name (Required)
  • Preferred Language (Required) – Choose your preferred language from the drop-down menu
  • Phone Number (Required)
  • Legal Name (Required) – the legal name of your party, which appears on your supporting Proof of Business document
  • Business Number – may be found on yourProof of Business document. This is an optional entry
  • Business Structure (Required) – select the business structure from the drop-down menu

Select the Next Step button.

Create Office Address - 20% Complete

Complete the office address form fields:

  • Address Line 1 (Required)
  • Address Line 2
  • City (Required)
  • State/Province/Region (Required)

Select the Next Step button.

Enter Billing Address - 30% Complete

Complete the billing address form fields:

  • Country (Required)
  • Address Line 1 (Required)
  • Address Line 2 and 3
  • City (Required)
  • State/Province/Region (Required)
  • ZIP/Postal Code (Required)

Select the Next Step button.

On-Account Number Overview - 35% Complete

If your party has an on-account number, add it on this screen. This will allow you to pay fees efficiently. If you do not have an on-account number, you may apply by completing a credit application. To add an on-account number, select the +Add On-Account Number button.

On the Input On-Account Number screen, enter your company name and on-account number.

Select the Save button.

On the next screen you will see the on-account number you just entered in the table.

Select Next Step to continue.

Declared Business Activities - 40% Complete

Please identify all commodities related to your business activities.

To add a commodity, select the +Add Business Activity button.

On the next screen, add the Business Line (Required) and Commodity Group (Required) related to any business activities you conduct. When you are finished, select the Save button.

On the next screen you will see the business line and commodity group you just entered in the table. Select Next Step to continue.

Identify Profile Manager - 45% Complete

As the first person to set up the party profile, you are given the role of Profile Manager.

Select the Next Step button if your information is correct.

To associate another person as Profile Manager, enter their email address in the Invite new Profile Manager (Optional) email address field. Then select the Next Step button.

Note

The person you invite to be Profile Manager will receive an invitation by email when your party profile is submitted. They will be asked to accept the Profile Manager role attestation.

Identify Profile Authority - 50% Complete

Indicate if you are the Profile Authority or if you would like to invite someone else to be the Profile Authority.

To invite another person to be the Profile Authority, enter their email address in the Email Address (required for option 2) field.

Select the Next Step button.

Note

The person you invite to be the Profile Authority will receive an invitation by email when your party profile is submitted. They will be asked to accept the Profile Authority role attestation.

Proof of Authority Form - 55% Complete

Select the Proof of Authority Form link to download the Proof of Authority form.

Upload Supporting Documents

When the Proof of Authority form is signed, select the Upload button to begin uploading the form to My CFIA.

Select the Browse button to locate the completed and signed Proof of Authority document.

Choose the file you want to upload. Select the Upload button.

When the upload is finished, you will see Upload Successful. If you uploaded the wrong document, select the Delete link.

Create a title for your document and add comments, if needed.

Repeat this process to add multiple documents as required. When you are finished adding documents, select the Next Step button.

Accept Role: Profile Authority

Read the attestation and select the I accept (Required) checkbox.

Identify Regulatory Contact - 60% Complete

Enter the contact information for the person who will be your Regulatory Contact. This person is not required to enrol.

Complete all the required fields.

  • First Name (Required)
  • Last Name (Required)
  • Primary Phone Number (Required)
  • Secondary Phone Number
  • Email

Select the Next Step button.

Note

This is the person the CFIA will contact to provide inspection findings or work with on inspection-related issues.

Identify Emergency Contact - 70% Complete

Enter the contact information for the person who will be your Emergency Contact. This person is not required to enrol.

Complete all the required fields:

  • First Name (Required)
  • Last Name (Required)
  • Primary Phone Number (Required)
  • Secondary Phone Number
  • Email

Select the Next Step button.

Note

This is the person the CFIA will contact outside of normal business hours, in the case of any emergency health or safety issue that affects your party (i.e. in the case of a required commodity recall or virus outbreak).

View/Add Party Contacts - 75% Complete

You may enter the contact information for people who will be the Party Contacts. A party contact is an individual who is authorized to act on behalf of your party to submit service requests and interact with the CFIA.

Select the +Add Party Contacts button to begin to select party contacts.

Add the email address of an individual in the Email Address field to invite them to be a party contact.

Select the Save button.

Repeat this process to add party contacts as required. To change an email address, select the Edit link for the email address you wish to update.

When you are finished adding party contacts, select the Next Step button.

Add Supporting Documents - 80% Complete

Select the Upload document button to upload supporting documents. These documents are required to identify the legal authority or legally responsible individual for your party. You may add multiple documents as required.

Select the Browse button to locate the signed, supporting legal documents, such as Proof of Business.

Choose the file you want to upload. Select the Upload button.

When the upload is finished, you will see Upload Successful. If you uploaded the wrong document, select the Delete link.

Create a title for your document and add comments, if needed.

Select the Save button to link the document name and comments to the document.

Repeat this process to add multiple documents as required. When you are finished adding documents, select the Next Step button.

Review and Submit - 95% Complete

The party details you have input will be displayed. Review the information carefully.

You now have three choices:

  1. If all the information is correct, select the Submit button to submit the party enrolment.
  2. Select the Back button to navigate to any screen requiring corrections. When you are finished making corrections, return to this screen and select the Submit button.
  3. Select the Save and Return Later button if you wish to return at a later time to complete enrolment.

The party enrolment has been submitted when your dashboard is displayed.

Creating a Party Profile – Enrol as an Alternative Service Provider (ASP)

If you are an Alternative Service Provider (ASP) that provides services to support a party and wish to conduct business online in conjunction with that party, you must create an ASP profile. As an ASP, you are subject to the Acts and Regulations administered and enforced by the CFIA.

To register as an ASP, first you must follow the Sign In/Sign Up and New Contact Enrolment steps. When you are finished, your dashboard will be displayed. From your Dashboard, select Enrol New Party/Enter Invite Code.

Note

At this time only accredited veterinarians or accredited laboratories may enrol as an ASP.

This step consists of multiple screens, each marked by a completion percentage to help guide you through the process. If you need to quit before you complete the party profile section, you may select Save and Return Later from any party enrolment screen. Each screen is saved when you move to the next screen. If you select Cancel, the information on the current screen will not be saved.

Enrol as an Individual ASP

Select Type of Provider - 10% Complete

Select Individual to indicate you are enrolling as an individual ASP.

  • Organization
  • Individual

From the ASP Type field, select your ASP type. If you need to select more than one option, hold down the Ctrl as you select each item. All the selected items will be highlighted.

Select the right arrow button to move the ASP Types you have chosen to the Selected ASP Type(s) field.

If you make a selection in error, choose the ASP type you wish to remove from the Selected ASP Type(s) field and select the left arrow button to remove the ASP type from the list of selected ASP type(s).

When you are finished, select the Next Step button.

Attestation

Read the ASP Individual Enrolment attestation and select the I accept (Required) checkbox to accept the attestation. Select the Accept button.

Identify Accreditation - 30% Complete

As an accredited individual you are required to select an Accrediting Body from the Accrediting Body drop-down menu. The selected accrediting body will be displayed in the accrediting body field.

From the Accreditations field, select the applicable accreditations. If you need to select more than one option, hold down the Ctrl as you select each item. All the selected items will be highlighted.

When you have finished selecting all the accreditations you wish to choose, select the right arrow button to move those selections to the Selected Accreditations (Required) field.

If you make a selection in error, choose the accreditation you wish to remove from the Selected Accreditations (Required) field and select the left arrow button and the accreditation will be removed from the list of selected accreditation(s).

When you are finished, select the Next Step button.

Create Office Address - 40% Complete

The fields on the Create Office Address page are:

  • Address Line 1 (Required)
  • Address Line 2
  • City (Required)
  • State/Province/Region (Required)
  • Zip/Postal Code (Required)

Enter the information in each field and select the Save button to save your changes.

Select the Cancel button to abandon the changes on this screen.

Add Supporting Documents - 90% Complete

Select the Upload document button to begin uploading supporting documents.

To support the accreditation information entered into your ASP profile, you must provide signed Proof of Accreditation documentation—such as authorizing letters, certificates, or any equivalent documentation—identifying the authorization relevant to your specific accredited specialty.

Note

You may add multiple documents as required.

To add more documents, select Upload Supporting Document and "Add a New Document". Select the Browse button to locate the signed, supporting legal documents, such as Proof of Business.

Choose the file you want to upload. Select the Upload button.

Note

Review and Submit - 95% Complete

The ASP details you have input will be displayed. Review the information carefully.

The ASP enrolment has been submitted when your dashboard is displayed. Any ASP contact invitations will be sent after the Submit button is clicked. Invitations are valid for 15 calendar days.

Enrol as an ASP Organization

Select Type of Provider - 10% Complete

Select Organization to indicate your ASP Structure (Required).

From the ASP Type field, select your ASP type. If you need to select more than one option, hold down the Ctrl as you select each item. All the selected items will be highlighted.

Select the right arrow button to move the ASP Types you have chosen to the Selected ASP Types field.

If you make a selection in error, choose the ASP type you wish to remove from the Selected ASP Type(s) field and select the left arrow button to remove the ASP type from the list of selected ASP type(s).

When you are finished, select the Next Step button.

Attestation

When you enrol an ASP organization, you are automatically assigned the role of Profile Manager for your organization's profile. You will need to accept an attestation on behalf of your organization and also accept the role of Profile Manager and attest to those responsibilities. You will have an opportunity later to invite someone else to assume the role of Profile Manager.

Check the appropriate checkbox(s) to indicate you accept the attestation(s). Then select the Accept button.

Enter Business Information - 20% Complete

Complete the business information form fields:

  • Profile Name (Required)
  • Preferred Language (Required) – Choose your preferred language from the drop-down menu
  • Phone Number (Required)
  • Legal Name (Required) – This is the legal name of the ASP that appears on the Proof of Accreditation document
  • Business Structure – Select your business structure from the drop-down menu

Select the Next Step button.

Identify Accreditation - 30% Complete

As an accredited individual or organization, you are required to select an Accrediting Body (required) from the Accrediting Body drop-down menu. The selected accrediting body will be displayed in the Accredited Body field.

From the Accreditations field, select the applicable accreditations. If you need to select more than one option, hold down the Ctrl as you select each item. All the selected items will be highlighted.

Select the right arrow button to move those selections to the Selected Accreditations (Required) field.

If you make a selection in error, choose the accreditation you wish to remove from the Selected Accreditations (Required) field and select the left arrow button to remove it from the list of selected accreditation(s).

When you are finished, select the Next Step button.

Create Office Address - 40% Complete

The fields on the Create Office Address page are:

  • Address Line 1 (Required)
  • Address Line 2
  • City (Required)
  • State/Province/Region (Required)
  • Zip/Postal Code (Required)

Enter the information in each field and select the Save button to save your changes.

Select the Cancel button to abandon the changes on this screen.

Identify Profile Manager - 50% Complete

The Profile Manager is authorized by the Profile Authority to maintain the online ASP profile and to interact online with the CFIA.

Select a button to indicate whether you or someone else will be the Profile Manager for the ASP.

If you indicate that you would like another person to be the Profile Manager, enter an email address in the Email Address (Required) field and select the Next Step button. If you indicate you will be the Profile Manager, select the Next Step button.

Identify Profile Authority - 60% Complete

The Profile Authority is accountable for all online ASP information or records and any online business conducted with the CFIA, by the ASP.

If you wish to invite another person to be the Profile Authority, enter an email address in the Email Address (Required) field and select the Next Step button. That person will be sent an invitation when the ASP profile is submitted.

Proof of Authority Form - 65% Complete

Select the Proof of Authority Form link to download the Proof of Authority form.

Upload Supporting Documents

When the Proof of Authority form is signed, select the Upload button to begin uploading the form to My CFIA.

Select the Browse button to locate the completed and signed Proof of Authority document.

Choose the file you want to upload. Select the Upload document button.

Note

In order to upload a file, the file must be available on your computer in a known file location. The file must be in PDF, JPG, JPEG, or PNG format.

When the upload is finished, you will see Upload Successful. If you uploaded the wrong document, select the Delete link.

Create a title your document and add comments, if needed.

Select the Save button to link the document name and comments to the document.

When you are finished adding documents, select the Next Step button.

Accept Role: Profile Authority

Read the attestation and select the I accept (Required) checkbox.

Select the Accept button.

Identify Regulatory Contact - 70% Complete

Enter the contact information for the person who will be your Regulatory Contact. This person is not required to enrol.

Complete all the required fields:

  • First Name (Required)
  • Last Name (Required)
  • Primary Phone Number (Required)
  • Secondary Phone Number
  • Email

Select the Next Step button.

Note

This is the person the CFIA will contact to provide inspection findings or work with on inspection-related issues.

Identify Emergency Contact - 80% Complete

Enter the contact information for the person who will be your Emergency Contact. This person is not required to enrol.

Complete all the required fields:

  • First Name (Required)
  • Last Name (Required)
  • Primary Phone Number (Required)
  • Secondary Phone Number
  • Email

Select the Next Step button.

Note

This is the person the CFIA will contact outside of normal business hours, in the case of any emergency health or safety issue that affects your party (i.e. in the case of a required commodity recall or virus outbreak).

Add Supporting Documents - 90% Complete

Select the Upload document button to begin uploading supporting documents.

To support the accreditation information entered into your ASP profile, you must provide signed Proof of Accreditation documentation—such as authorizing letters, certificates, or any equivalent documentation—identifying the authorization relevant to your specific accredited specialty.

Note

You may add multiple documents, as required.

To add more documents, select the Upload Supporting Document and "Add a New Document".

Select the Browse button to locate the signed, supporting legal documents, such as Proof of Business.

Choose the file you want to upload. Select the Upload button.

Note

When the upload is finished, you will see Upload Successful. If you uploaded the wrong document, select the Delete link.

Create a title for your document and add comments, if needed. Select the Save button to link the document name and comments to the document.

Repeat this process to add multiple documents as required. When you are finished adding documents, select the Next Step button.

Review and Submit - 95% Complete

The ASP details you have input will be displayed. Review the information carefully.

You now have three choices:

  1. If all the information is correct, select the Submit button to submit the ASP enrolment.
  2. Select the Back button to navigate to any screen requiring corrections. When you are finished making corrections, return to this screen and select the Submit button.
  3. Select the Save and Return Later button if you wish to return at a later time to complete enrolment.
